A guide for accounting and advisory firms
How to stop receiving invoices through WhatsApp and email without losing control of the close.
You do not need to ban the channels your clients already use. You need to ensure that no document depends on a conversation, an inbox or someone's memory. The change is to turn each submission into a record with a client, period, document, status and next step.
The short answer
Centralise the work, not just the files.
1. Define one official submission point.
2. Link each file to a client and period.
3. Distinguish outstanding, received, awaiting review and ready.
4. Assign an owner and the next step.
5. Use WhatsApp or email for notifications, not as the client file.
The everyday problem
A document can have arrived and still be lost to the team.
Fragmentation is not measured by the number of apps, but by the time needed to answer four questions: whose is it, which period does it cover, who should review it and what is still missing?
The conversation hides the document
The invoice gets buried among messages, voice notes and replies. Another team member does not know it exists or reviews a different version.
Each person manages a different inbox
Work is spread across shared email, personal email and WhatsApp. Finding the real status means asking several people.
The file arrives without context
A PDF named ‘invoice.pdf’ does not explain the client, period, expense or question the professional needs to resolve.
The small problem that wastes the most time: when someone says ‘I already sent that’, the team has to find out where, when and for which period. The solution is not to request another copy; it is to make submissions traceable from the start.
They are not the same
Transferring, storing and managing solve different problems.
Sending a large file solves a one-off delivery problem. Synchronising folders keeps copies available. A client portal should add the operational context the firm needs to know what to do next.
Practical workflow
The five fields that turn a file into work you can track.
They do not depend on a particular tool. Start with your current system and check whether every document retains these details throughout the workflow.
- 01
Client
The submission should arrive already linked to the right business or professional. Avoid shared intake folders that require guesswork to classify files later.
- 02
Period
Specify the month, quarter or financial year. The same supplier may appear several times, and a valid invoice may belong to a different close.
- 03
Document or request
‘File received’ is not enough. Record what was requested and what has arrived: a statement, invoice, receipt, contract or clarification.
- 04
Status
Use statuses that show who needs to act: awaiting the client, received, awaiting review and ready. Received must never mean reviewed.
- 05
Owner and next step
Define who acts and what needs to happen. ‘Review VAT’, ‘request context’ and ‘add to the client file’ are actions; ‘in progress’ is not.
A small change, a real test
Start with three clients, not your whole portfolio.
The first week's goal is not to digitise the entire firm. It is to check that a submission arrives with context, changes status and is completed without the team having to reconstruct its history.
- 1Choose three different cases
One organised client, one who uses WhatsApp and one who spreads documents across several channels.
- 2Define the official channel
Send notifications however you prefer, but make it clear where every file should end up.
- 3Record only real requests
Start with three to five documents that are currently blocking work, not an endless list.
- 4Measure friction, not promises
Check how often someone had to ask where a file was and whether the next step was obvious.
The CierreListo experience
The client submits; the firm stays in control.
CierreListo applies this method to collaboration before the close. You do not have to replace your accounting software all at once or learn a cumbersome system to test the workflow.
Individual invitation
The firm invites the client, whose access is separate from other organisations and clients.
Browser-based submission
The client checks outstanding items and uploads documents from a phone without installing a native app.
Outstanding items visible
Each requirement retains a description and status so both parties know who needs to act.
Separate review status
The team distinguishes received from reviewed and avoids marking a file as finished simply because a document has arrived.
The firm's identity
White labelling can be configured when it is included in the subscribed plan.
Data available to view and export
At the end of the trial, the account becomes read-only if no plan is activated; the data does not disappear and can be exported.
Avoid these shortcuts
Three decisions that recreate the same disorder.
Centralising does not mean adding another inbox. It means removing ambiguity from the workflow.
Creating a folder without rules
If no one defines names, periods and statuses, the folder only moves the problem elsewhere.
Multiplying reminders
More notifications do not fix an ambiguous request. First clarify what is missing and what should happen next.
Treating received as reviewed
A submission may be incomplete, duplicated or relate to another period. Keep review as a separate status.
A clear account of the scope
A portal organises collaboration; it does not replace professional judgement.
CierreListo helps request, receive and track documents. It does not guarantee that a client will respond, independently decide whether a document is correct for tax purposes or replace professional review. Its value is in making the problem visible earlier and with context.
Common questions
Questions before centralising client documents.
Do we need to stop using WhatsApp altogether?
No. It can still be useful for an urgent notification or a new request. What matters is that documents and follow-up do not depend on reconstructing conversations: the submission must be linked to the client, period and relevant status.
Is a shared Drive folder enough?
A folder helps store files, but does not always show who needs to act, which period a document covers, what remains outstanding or whether something has been received but not yet reviewed. If your team already manages all of that through a reliable method, it may be enough. Otherwise, you need to add context and statuses to storage.
Does the client need to install an app?
No. In CierreListo, clients can use their phone's browser to check outstanding documents and upload files to their own space without installing a native app.
Can a client see another client's information?
No. Portal access is isolated by organisation and client. Each invited client can access only their own space and the information assigned to them.
Can the portal carry the firm's brand?
Yes, when the organisation subscribes to a plan with white labelling and configures it. Otherwise, the CierreListo identity is used.
Does it replace accounting software or file taxes automatically?
No. The portal organises the preceding collaboration: requests, submissions, outstanding documents and statuses. It can work alongside the firm's accounting software. Professional review and official filing remain the responsibility of the authorised professional, using integrations that are actually available.
